Position: Program and Operations Manager
Reports to: MAVA Executive Director
Status: Exempt. The position is full time.

Organization Summary: MAVA connects, educates, strengthens and advocates for volunteer engagement leaders and their organizations to positively impact communities.

Job Purpose: This position involves Program Management of MAVA’s AmeriCorps VISTA program. In addition, the position provides clerical and administrative support to the executive director, manages office operations and coordinates logistics and volunteer support for MAVA training programs, annual conference and membership meeting.

Key Responsibilities:
Manages MAVA AmeriCorps VISTA program (40% of time)
• Recruits, on boards, and supervises AmeriCorps VISTA Leader
• In absence of VISTA Leader, coordinates monthly cohort trainings and checks in
with VISTA members
• Manages VISTA program budget, reporting requirements, and grant application
process
• Recruits, selects, and trains AmeriCorps VISTA host sites
• Directs VISTA member recruitment and orientation, and supports host sides with
developing VISTA project plans and position descriptions
• Supports host sites and VISTA members with project and personnel challenges
throughout the service year

Administrative Support and Office Management (35% of time)
• Processes accounts receivable and payable, and supports month end
reconciliation for the contract bookkeeper
• Purchases office supplies, processes mail, and maintains office files
• Supports staff benefits administration
• Assists with employee hiring and onboarding
• Assists with volunteer and intern recruitment and engagement
• Provides orientation and supervision for office volunteers
• Manages office cloud storage system & Gmail account
• Other duties as assigned by executive director

Event Planning and Coordination (25% of time)
• Schedules, organizes logistics for, and staffs metro-based Volunteer Impact
Leadership Training Series
• Recruits, supervises and coordinates meetings for volunteers tasked with
producing the annual conference
• Recruits, supervises and coordinates meetings for volunteers tasked with
producing the annual member meeting/training
• Assists with event registration for general MAVA trainings and answers payment
questions
• Maintains event records for general MAVA trainings and metro-based Series
• Presents trainings on behalf of MAVA as needed
Qualifications:
Required
• Excellent oral and written communication, attention to detail, and customer
service skills
• Strong computer skills.
• Extensive experience in program management and office administration or
comparable work experience.
• Ability to successfully manage competing priorities and complex projects
through delegation
• Experience recruiting, engaging with and supervising volunteers
• Ability to streamline processes and maximize organizational operating
efficiencies
• Bachelor’s degree
• Previous work for a nonprofit

A Plus
• Experience with national service programs
• MAVA’s Certificate in Leadership of Volunteers or completion of other
volunteer management training
• Experience presenting workshops
• Experience with event planning, bookkeeping, databases, webinars and website
management
